The Receptionist is responsible for providing Front Office and Human Resources support for the Company. The Receptionist deals effectively with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization. The basic office job of a receptionist is to greet the general public, visitors, customers and other parties that arrive in person.
Office hours are from 12:00pm ? 5:00pm
Screens and routes telephone calls in a courteous and efficient manner
Receives lobby visitors and greets customers
Distributes incoming mail to internal recipients on a daily basis
Maintains the conference room calendars
Assists the HR department in:
Maintaining and updating non-exempt employment files
Scheduling meetings and interviews using Microsoft Outlook
Sorting and distributing mail and internal correspondence
Assisting in the preparation of documents and supplies for New Hire Orientation
Creates, updates and cancels employee, contractor and visitor building access badges
Prepares FedEx shipments
Assists with ordering, receiving, distributing and stocking office supplies
Assists Accounts Payable department by preparing incoming and outgoing mail, preparing invoices for filing and maintaining the postage machine
Any other duties or responsibilities assigned by TAS
Strong verbal and written communication skills.
Proficiency on telephone console
Competency in handling a variety of personalities and pressure situations.
Very detailed oriented
Excellent computer skills and knowledge of a variety of software applications.
Protect and maintain confidentiality without compromise.
EDUCATION & TRAINING
High School Diploma
High level of proficiency with MS Office Suite, including but not limited to Word, Excel and MS Outlook.
Two (2) years in a front office and/or customer service related environment.
Professional appearance is a prerequisite.
Responsibility to be on time for all shifts.
Previous experience in Human Resources related administrative responsibilities
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing and performing repetitive motions. Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
