Receptionist/Office Coordinator NeuroPace

Responsible for handling front office reception including greeting guests, visitors and vendors; answering phones and handling Company inquiries as well as general administrative duties.
Answer phones and greet guests in a professional and courteous manner.
Perform general office administration, including: purchasing office supplies; making travel arrangements; handling shipping/receiving and mail; ordering office supplies; etc.
Assist Sr. Management with daily administrative tasks. Provide administrative support to various departments (Human Resources, Accounting, Customer Service, Legal, etc.) as needed including FedEx shipments, faxes and filing.
Update Board of Director contact list and distribution lists; coordinate Board meetings, including ordering lunch; and general Board correspondence.
Manage the kitchen and lunchroom, including coordinating with food vendors to ensure proper quantity and variety are delivered as well as ordering ad hoc food supplies.
Handle on-going facilities needs, including building services and repairs & maintenance. Coordinate with facilities personnel and the property management company as necessary.
May support HR to plan and coordinate social activities and special events.
Create and maintain employee security badges.
Order business cards, letterhead and other custom print jobs.
Coordinate the ordering and distribution of annual Holiday Cards, order service awards and coordinate flower deliveries as requested by HR.
Maintain assorted vendor/client relations, including: interior plants, pest control, food vendors, janitorial, office supply companies, FedEx/UPS, etc.
Other administrative tasks as needed.
Minimum of 3+ years work experience in comparable position.
Excellent organizational and time management skills.
Able to juggle multiple projects and competing work demands while maintaining strong attention to detail.
Ability to interact with multiple types of individuals (Sr. Management, BOD, vendors, engineers, delivery people etc.) in a professional and pleasant manner both in person and over the phone.
Strong computer skills (Outlook, Word, Power Point, Excel).
Courteous and professional demeanor.
