Due to our rapid rate of growth and the subsequent increased traffic in our office, we are looking to bring on-board a talented and energetic front-desk receptionist to help promote a positive and welcoming environment for our current or prospective clients, partners and employees. The Receptionist will often be the first contact visitors have with our company, so it is important that they reflect our professional and dynamic culture and have a stellar can-do attitude. This position will also be entrusted to diligently follow set protocols to ensure that each visitor is an authorized guest of the company. The ideal candidate will have experience working in a fast-paced, yet focused environment and be efficient, industrious, quick-thinking and detail-oriented.
Be available to greet guests and answer the phones during business hours
Assess the needs of callers and visitors in order route them seamlessly and appropriately
Maintain office administration section of our intranet and ensure that our internal phone list is up-to-date
Routinely monitor the inventory of our office, break room and mail/shipping supplies and order new materials as needed
General upkeep of our shared spaces, including our break rooms and lobby area
Sort and deliver incoming mail and prepare and drop off outgoing mail daily
Coordinate travel arrangements and itineraries for Executives, candidates and visiting employees from our other locations when requested
Make meeting arrangements for Executives and visiting employees, including team meeting and planning sessions when requested
Help resolve building maintenance issues by submitting work orders to our Facilities team and tracking their progress
Order food and drinks for our occasional company breakfasts, happy hours and board meetings
Qualifications and Requirements:
2-3 years as a receptionist or administrative assistant with demonstrated increasing responsibilities
Experience working for a fast-paced , high-growth company preferred.
Excellent oral and written communication skills.
Outstanding organizational skills.
Ability to multi-task
Able to work independently, accurately and neatly.
Aptitude and eagerness to learn new systems and software
BA/BS strongly preferred
