The responsibility of the Receptionist is to perform all necessary front desk reception coverage with a professional and friendly demeanor. Provide support to the facility group?s shipping and receiving, E,H&S functions.
This person?s essential job functions will include the following:
Receptionist:
Utilize professionalism and superior customer service skills to interact with Company clients, vendors, and employees.
Greet visitors and present a positive first impression, maintain visitor logs, assign/collect temporary visitor ID badges and access cards.
Responsible for incoming calls, sort and distribute mail, faxes and other incoming and outgoing correspondence, place daily lunch orders, manage meeting room calendars.
Help prepare documents, maintain department files, stock office supplies, and assist in special projects as assigned.
Administrative Support
Responsible for copier, printer and Fax vendors; contact vendors for repairs and maintenance, and facilitate contract renewal process
Responsible for food service vendors, as well as related orders and deliveries for company events
Responsible for lab coat and floor mat service; coordinate service, review invoices and notify vendor in a timely manner of any changes
Coordinate Taxi orders and vouchers and maintain log; review taxi vendor invoices for accuracy against log
Responsible for plant vendor service and identify areas needing attention
Working with HR, order and coordinate name plate orders
Regularly update the Lobby Operations Manual and Facilities documents posted to the Intranet (Cytoweb)
Support the E,H&S group on project work when requested
Provides support for processing Facilities invoices and purchase orders
Performs annual physical inventory counts and assists in both internal and external audits
Supports the Shipping and Receiving services as needed
Performs PM receiving and shipments as needed
Performs Shipping/Receiving Inventory control Arranges and coordinates all aspects of domestic and international freight shipments
Advises purchasing department of discrepancies in receipts
Stocks all purchased goods in proper locations
Tags required fixed assets and equipment with asset tags and maintains database on equipment location
Ships assets to vendors for repair and maintains appropriate documentation
Updates Shipping and Receiving SOPs, Forms, and Flowcharts
Responsible for obtaining return material authorizations and updating receiving system
Assist in stockroom order management
Daily posting of receipts into receiving system
Maintain timely and accurate receiving files which include packing slips, Return Goods Authorizations (RGAs), and bill of ladings
Maintains, manages and reconciles the third party shipping system on a weekly basis
Respond to auditor requests for shipping and receiving documentation.
Job Requirements:
Qualifications:
High school diploma or equivalent and a minimum of 3 years previous receptionist experience and prior warehousing experience
Must act professionally and friendly at all times in greeting and dealing with visitors, vendors and employees
Must be able to organize, prioritize and simultaneously work on multiple assignments, and perform those tasks with accuracy and in the timetable requested
Excellent communication, organizational and problem-solving skills

Ability to compare numbers and read invoices and labels
Experience with online shipping systems
Ability to lift up to 25 pounds
Receive deliveries and notifies purchasing of any discrepancies
Ship packages following IATA standards
Keeps extra company supplies stocked and organized
Must have a demonstrated proficiency in working with a PC platform and MS Word and Excel, including Outlook Calendaring, and operational familiarity with many types of office equipment (phones, copiers, postage-meter, facsimile machines)
This position will be trained in using an electronic receiving system, SOPs, hazardous material handling, radioactive safety. Training will be accomplished by a combination of classroom and on-the-job training and will be updated annually or when SOPs, chemical, hazardous or radioactive procedures change.
