The Recruiting Assistant provides administrative support primarily to the Recruiting consultants in the form of interview scheduling and on-site candidate interview coordination. This position provides administrative support for activities related to recruiting and pre-onboarding to include: requisition approval, job postings, internal referral program, etc. The Recruiting Assistant will manage contract to hire openings to include scheduling with hiring managers and coordination with staffing agency. This position will also provide support to other HR team members and work on special projects as assigned.
Responsible for scheduling interviews, arranges for information to be disseminated to those involved in interviews, be point of contact for candidates; may participate in the actual interview process
Assist with candidate screening
Coordinates travel arrangements for candidates as needed
Coordinate pre-hire paperwork when candidates accept positions
Ensure timely completion and filing of documents and coordinate work with HR Specialist
Coordinate with IT Infrastructure team on new hire/new contractor arrivals to ensure that hardware/software is set up and available
Handle other assignments/projects as the need arises
WORK EXPERIENCE & SKILLS (Required)
Knowledge of common Human Resource policies and procedures and internal company processes.
Recruitment experience (specifically sourcing candidates)
Ability to use and perform routine troubleshooting on most common office equipment (copiers, fax machines, etc.)
Ability to work independently under minimal guidance.
Ability to maintain confidentiality and understands when to escalate issues.
Ability to work under pressure and maintain professionalism in a fast-paced environment.
Must be flexible and embrace change.
Strong relationship management and collaboration skills.
Organizational efficiency and multi-tasking skills.
Excellent written and verbal communication skills.
Ability to establish and maintain effective working relationships, supporting the direction of the organization.
Demonstrated ability to use discretion and make sound decision.
WORK EXPERIENCE & SKILLS (Preferred)
Ability to make 45+ keystrokes per minute in a word processing application.
Experience working in an entrepreneurial, start-up company.
EDUCATION AND CERTIFICATION (Required)
High school diploma or equivalent
3 or more years of administrative, human resources or recruiting work experience with confidential and sensitive data.
Proficient with Microsoft Office applications.
Experience with updating and maintaining an applicant database.
EDUCATION AND CERTIFICATION (Preferred)
Work experience in human resources to include: support of recruitment efforts including sourcing and screening
