Job Responsibilities
Work as a liaison between the field and home office for Area Sales Director, Regional Sales Managers and Sales Consultants
Manage schedules and book any travel arrangements
Perform administrative tasks such as spreadsheet, charts, presentations, letters or other correspondence utilizing MS Office tools
Assist with administrative duties for cases and doctors and consulting agreements
Assist with mailings (merging data, creating labels, mailing out, etc.)
Process necessary requirements needed for Hospitals Entrance (i.e., RepTrax, VendorMate).
Process Advertising Requests and Media/Marketing
Assist with Address Changes, System Applications and databases.
Work with customer service on revenue discrepancy/order discrepancy issues
Coordinate with warehouse for needed shipments to hospitals
Maintain Weekly Sales Reports
Track budgets and process expense reports
Run Case Analysis and Area Sales Reports as needed
Manage and Track Inventory Reports and Expired Products
Prepare, revise and edit Quarterly Plan & Review Documents
Create/Revise and Update Daily Performance Tracker (new tracker each quarter)
Set-Up Off-Site Meetings for sales team (District Meetings)
Set-up Conference Calls, WebEx, etc.
Assist with Field Visit Letters and Schedules
Keep track of team vacations, birthdays, etc.
Special projects, as needed.
Assist with peer-to-peer events, dinner and trainings
Assist with Vendor Exhibits
Process Check Requests and other forms with headquarters
Attend Conference Calls and take notes for action items and follow up
Assist with VIP visits
Field Trainer for newly hired Sales Consultants
Requirements
A minimum of 3-5 years of prior Sales Administrative Assistant experience
Experience in Medical Device company preferred
Austin based preferred, but will consider remote candidates with medical device experience
Bachelor's Degree preferred
High School graduate or equivalent
Strong writing, analytical, interpersonal, time-management and communications skills required
Must be organized, detail oriented and have the ability to work effectively under pressure in both a team setting and individually
Must have the ability to fluently speak, read, write, and understand the English language
