Sales Operations/Contracts Administrator
Looking for a Sales Operations Specialist who has experience in assisting the legal department with Contract Administration and provide the primary interface between Sales and the legal department on customer contract revisions. Exhibit a sales & customer service-oriented approach to order management and sales support. Understand all procedures required to process sales orders in an accurate and timely manner and in full compliance with company policies using Order Entry, CRM and/or Accounting systems. Take full ownership and, most importantly, a customer-oriented approach to the entire order management cycle - processing, monitoring and tracking all customer orders. Provide superior support to the sales organization to enhance and/or enable the sales process ? acting as a liaison for the sales organization to ensure customer operational needs are resolved, orders are processed quickly, accurately and ensuring maximum customer satisfaction. Identify process and systems improvements, participate on teams and coordinate ad hoc projects to improve and support the order management process.
Primary Responsibilities & Objectives:
Contract Administration:
Analyze requested contract modifications; act point of contact for Sales reps regarding contract discussion with Legal Dept,oversee contract administration processes such as reviewing sales contracts, reporting on sales contracts status, track contracts and maintain correspondence control with customers
Maintain knowledge base of approved legal language; monitor, track, execute and report status of contract changes, and monitor for any unauthorized contract changes
Support Sales with regard to identifying potential issues and proactively suggesting or providing resolution
Liaise with the financial team on contract language impact to revenue recognition, research queries from management regarding customer contracts
Sales Operations
Manage entire order management process cycle, from order entry through fulfillment & tracking
Support both Sales and Customer Support in their efforts to assist existing and potential clients
Enforce account ownership rules within our CRM system and in full compliance with Sales Process and business guidelines
General administrative duties related to sales, including managing contracts, e-filing, and general accounts maintenance in CRM
Assist in conducting periodic maintenance of account/contact records in CRM system as well as enforcing data management/data integrity rules and guidelines with sales reps
Daily management of post-sales, product-related account activities such as, but not limited to: Approval and creation of new clients, data management, account ownership enforcement, processing returns and refunds, license forfeitures and new license contracts
Continually seek ways to improve team efficiency, effectiveness and impact; recording ideas for improving processes and procedures; and interacting with and directing day-to-day operations
Work very closely with Accounting in regards to order processing, billing/payment issues, arrangements
Interact daily with all levels of the company: Sales, management team, IT/MIS and other departments
Qualifications, Skills and Education:
Salesforce.com CRM system and legal contract administration experience mandatory
Self-starter with a proven track record in a sales support role with top notch customer service skills
Excellent attention to detail and proven organizational skills, able to prioritize and multi-task and see projects/assignments to completion
Proficiency with MS Word, MS Excel, MS PowerPoint and customer database management systems
Proficiency with ERP systems in an order processing function
Experience working in an extremely fast-paced high volume environment, Mortgage/Banking experience a plus
Highly autonomous; strong analysis, problem-solving and decision-making skills
Team player and also possesses ability to work independently, make judgment calls and take ownership of outcome from those decisions
Proven leadership and negotiation skills, works well with all levels, able to successfully manage cross-departmental expectations
Excellent written and verbal communication skills
