This is an opportunity to join a fast growing software-as-a service company as the person responsible for the company's commercial contract processes, which includes managing a team of two contract administrators. A qualified candidate must be able to work in a fast-paced environment where you will interact with individuals in the sales, account management and professional services groups around the world. You and your team will be the primary contacts between finance, legal and the customer-facing groups mentioned above. Building rapport and trust with your colleagues in the aforementioned departments is a key to success, along with consistently delivering quality results with a flexible and dynamic attitude.
Primary Responsibilities:
Daily:
Review prospective customer order forms and statements of work (SOWs) for the sales team, making sure they comply with the company discount approval policy and financial guidelines.
Support review of SOWs or work authorizations (WAs) for the professional services (PS) team.
Support review of order forms for the account management team and their existing customers.
Regularly:
Work as a member of an integrated team, together with the customer-facing, legal, and finance departments to ensure that contractual issues and risks are identified, evaluated, and resolved. This includes:
Providing subject-matter and drafting expertise to the internal teams to ensure that contracts with customers and prospects are implemented in a manner that complies with the company's standards and policies.
Participating in pricing discussions to ensure the proposed pricing in the proposal is in compliance with company policies.
Handling high priority/escalated issues for all subscription and PS contracts, including drafting custom language and providing advice on how to proceed when the customer or prospect requests non-standard terms.
Identifying and communicating legal, contractual, revenue recognition and procedural risks associated with the documents.
Contribute to the Sales and Account Management contract summaries. Create/maintain reports for tracking the draft contracts for all prospective customers. Monitor/review the reports created by the Contract Administrators.
Maintain a philosophy of continuous improvement by developing new processes and/or automating steps within the contract processes, this includes drafting/approving PS templates for standard offerings.
Understand new products and how they are being sold in order to provide advice when drafting related order forms, including any custom requests.
Train and educate Contract Administrators.
Oversee/Manage:
Document tracking and monitoring.
Database maintenance for customer contracts.
Preparation of recurring reports.
Order form drafts for existing customers.
SOWs and WAs for PS services.
Required Qualifications:
7-10 years of experience in contracts administration, legal administration or sales operations, preferably with a SaaS company.
3-4 years of management experience.
Experience in drafting custom/unique contractual language for a SaaS company.
Excellent organizational and analytical skills, including 1) the ability to multi-task and 2) the ability to manage while under deadlines with multiple internal colleagues and/or departments at quarter end.
Experience with the Microsoft Office suite, salesforce and basic to intermediate math skills.
