The Administration Team operates cross-functionally with employees at all levels to ensure that the offices are functioning effectively to avoid the interruption of business operations, and ensures workplace safety for all GreatCall employees.
About the Job
The Senior Office Coordinator provides administrative support to the office management team and will report directly to the company?s Facilities Manager, providing project, and business (operational) support. The ideal candidate will have a strong sense of customer service excellence, be solutions oriented, highly organized and able to multi-task often conflicting priorities. We?re looking for someone who realizes the leadership exposure this role affords and takes an active and smart approach to executive support and project management.
This role coordinates the facility?s maintenance, repair, renovation, and custodial work; supervises the overhaul and reparation of company facilities by contractors; confers with all departments on facility matters and investigates complaints relating to the needs for custodial or facility maintenance services; maintains appropriate records and prepares project specifications and special reports; enforces safety standards; conducts tests on equipment and supplies.
Manage and schedule meetings, travel bookings, and support with business errands
Act as liaison between company and property management
Manage office and maintenance staff to facilitate building repairs, as well as coordinating vendors and contracts for preventative maintenance
Ensures the building meets health and safety requirements and evaluates OSHA records and files, and responds to reports
Confirms that agreed work by staff or contractors has been completed satisfactorily and follows up on any deficiencies
Responds appropriately to emergencies or urgent issues as they arise
Plan and oversee essential central services such as reception, security, maintenance, mail, cleaning, catering, waste disposal and recycling
Education: Associate?s in Business Administration or equivalent experience
Minimum 2 years of administrative experience PC proficiency, including MS Office Suite (MS Word, Excel, PowerPoint, etc)
Minimum 1 year of experience working with independent contractors and subcontractors
Excellent written and verbal communication skills as well as presentation skills
Strong interpersonal skills and ability to communicate effectively with individuals at all levels within the organization, including vendors, contractors, code and regulation officials, property managers, landlords, and executive management
Strong attention to detail and organization skills
Some travel required
Ability to work well in a fast-paced professional office environment
Prior knowledge of creating and managing budgets
