The Senior Payroll Accountant is responsible for processing payroll accurately and timely, utilizing applicable systems/applications and ensuring sufficient controls are in place and performed. This individual works independently, or with minimum supervision, to perform a variety of payroll assignments requiring knowledge and experience in payroll and human resources theory and practices, policies, regulations and requirements. Effectively communicates payroll situations, from simple to complex, to all levels of staff and management, including senior management. Is detail oriented and possesses strong technical payroll skills with the ability to solve payroll and system challenges. This individual has a high degree of respect for confidentiality and sensitivity of payroll and human resources data and is a team player with a strong sense of ownership and commitment to excellence. This role also functions as a staff accountant by preparing account reconciliations and analyses, preparing journal entries, assisting with accounts payable and employee reimbursed expense processing as needed and developing and maintaining relationships with key business process owners.
Processes semi-monthly payroll in ADP by incorporating pay rules from company policies and procedures and regulatory agencies, as well as, off cycle payments.
Accurate audit of data entry with comparisons of source data prior to submission to Controller for approval and ultimately ADP.
Prepare monthly payroll journal entries accurately and timely.
Reconcile payroll between ADP and the general ledger.
Partners with human resources to ensure payroll data is updated and maintained accurately and timely, including exception items such as retroactive adjustments, garnishments, rate changes, deductions and etc.
Researches and analyzes payroll situations internally and with ADP, from simple to complex, and ensures appropriate solutions are implemented accurately and timely and escalates where necessary.
Ensures adequate controls are in place and effectively performed to ensure the accurate and timely execution of the company?s payroll and related processes.
Researches and assist ADP with Federal and State taxation issues and reporting.
Owns the ADP payroll processing and tax reporting relationship and drives maintenance to support company operations.
Monitor and partner with the business to ensure that PTO is entered into ADP timely and that the accrual balance is accurately stated.
Ensures local, state and federal tax accounts are opened and closed as required.
Ensures management?s request for payroll information is addressed timely and accurately and timely answers employee questions regarding their paycheck in a courteous and professional manner.
Keeps up to date on Federal and State payroll and tax legislation and informs management of the impact/changes as appropriate.
Continually strives to achieve improved payroll production efficiencies through the use of system delivered tools, electronic methodologies and process re-design, by working cross-functionally with management, peer?s and subordinates to effectively implement. Performs User Acceptance Testing within ADP and internal environments.
Provides training to employees regarding labor laws and other training as necessary.
Assist with accounts payable, employee reimbursement and credit card processing.
Ensures accurate and timely transmission of employee reimbursement payment file to ADP for direct deposit processing.
Critically review and analyze data and prepare monthly journal entries.
Prepare monthly account and bank reconciliations and account analyses.
Anticipate issues, propose solutions and understand department interdependencies and deadlines. Proactively communicate with the broader accounting department and key business process owners.
Assist in the preparation of variance and trend analysis.
Assist with the preparation of audit schedules and reconciliations.
Participate in the ongoing implementation of process improvements and recommend ideas to increase efficiency.
Assist with various accounting and/or cross functional department projects.
The successful candidate will be highly motivated and have achieved great success in dynamic, growth-oriented Corporate Accounting environments
Minimum of 5-7 years of in-house payroll processing experience and 3-5 years of corporate accounting experience required
Minimum of 3-5 years of ADP processing and tax outsourcing experience required
Multi-state, multi-location and expatiate payroll processing experience preferred
Certified Payroll Professional is required
BA/BS in Accounting is required
Demonstrated experience with garnishment processing/compliance and knowledge of payroll tax and regulatory (Federal and State) laws and rules
Payroll and Accounting Systems / Software Knowledge (ADP, NetSuite and Excel)
Strong organization and communication skills
Ability to work both independently and collaboratively on a team
Demonstrated attention to detail and accuracy
Demonstrated analytical and problem solving skills; excellent decision making skills
Customer service oriented; ability to develop and maintain cooperative working relationships
