Senior Payroll Specialist LegalZoom
THIS JOB HAS EXPIRED LegalZoom.com is looking for an experienced individual to take the lead of our payroll process based in Austin, TX. Reporting to the Payroll Manager based in Glendale, CA. This person will primarily be evaluated on their ability to act independently, manage the substantial volume of documented new hires and transfers, assure payroll is processed accurately and timely, research and resolve the accounting treatment of complex and unusual payroll-related transactions, provide monthly payroll reporting by department, vacation accrual and usage, prepare journal entries using ADP GLI system and upload to JDE, prepare account analysis and account reconciliations and smoothly implement or roll-out various payroll projects during the year. This individual will also focus 50% of their time on other special projects and reporting outside the payroll process or month-end activity within the Accounting department. This will include, but is not limited to: month-end journal entries, monthly account reconciliations, payroll account cash management, FSA and 401K transaction monitoring, intra-month reporting, budget analysis and yearly audit preparation. What you?ll do:
Process semi-monthly payroll for 300+ employees for the Austin, TX location
Review and finalize payroll before submission
Research and resolve payroll related inquiries: pay discrepancies, direct deposit, deductions, garnishments, W-4 changes, etc.
Coordinate & process monthly bonus and commission requests
Calculate and process manual checks
Provide timely management reports.
Interact with HR and Administration to coordinate any employee related issues that impact payroll
Perform a range of accounting level support for the Finance Operations department
Reconcile payroll accounts and maintain payroll general ledger accounts
Perform payroll accounts variance analysis
May serve as payroll backup for other Company locations
Perform periodic internal audits of various payroll areas and prepare materials for external auditors
Participate in Payroll and HR initiatives
At least 5 years of experience processing payroll for 300+ employees; preferably for a major e-commerce company.
Detailed knowledge of the payroll process, deductions for withholding, FICA, Medicare, benefits, 401k etc and compliance with federal and state requirements related thereto.
Detailed knowledge of ADP software and reporting tools: ADP Workforce, PayExpert, Ezlabor, and Crystal Reporting.
General understanding of general ledger and financial accounting and financial statement reporting and how they are impacted by the payroll process and accounting.
Ability to perform in a fast-paced, self-managed environment -- must be a self-starter and act independently in the current environment.
Ability to identify and analyze problem situations and develop an effective course of action for resolution.
Ability to take on other responsibility for other employees as the Finance Operations organization continues to grow and expands the payroll and other functions
Good verbal, written, and interpersonal communication skills required.
Ability to establish and maintain effective inter-personal relationships with department representatives and others contacted in the normal course of carrying out the work.
Possess strong organizational skills and attention to detail, but still have the ability to see the big picture.
Proven focus on teamwork.
Prior experience in cross-departmental project coordination (marketing, production, IT, customer service, etc.)
Strong computer knowledge of Excel, Word, and PowerPoint.
Knowledge of payroll process compliance under SOX .
Knowledge of JDE accounting software is a strong plus.
