Service Operations Specialist
The Service Operations Specialist is responsible for coordinating and maintaining service logistics inventory as well as service contract administration including:
? Administering a global replacement parts logistics inventory;
? Orchestrating customer and supplier return material authorizations (RMAs);
? Managing internal receiving and shipping;
? Creation, delivery and follow-up of service contract renewal quotes;
? Updating of records in the service operations database.
Candidates for this position must display strong initiative, motivation and resourcefulness in addition to a solid customer service orientation.
? Daily oversight and coordination of shipments, including track and trace;
? Primary liaison with logistics inventory partner. Responsible for ongoing communication and escalation resolution of all logistics related matters;
? Manage the pipeline for field replacement units to ensure inventory levels meet the min/max levels at all times;
? Organize the process for RMA?s (return to manufacturer) to ensure warranty claims are optimized;
? Update and maintain the logistics management database to accurately account for inventory;
? Pro-actively identify problems and swiftly implement an appropriate solution;
? Handle the administrative tasks aligned with generating service contract renewal quotes, delivery of quotes and follow-up with customers, resellers and field sales personnel;
? Maintain customer account registrations, entitlements and other data within our service operations database;
? Participate in special projects and handle all other assigned duties as required.
A strong customer service orientation and superior communications and interpersonal skills are critical in this role as this individual works closely with customers, suppliers and employees across all functions. In addition, we are looking for someone with demonstrated experience in the following areas:
? Inventory management experience including cycle counts (monthly, quarterly, annually), reporting and interaction with finance to ensure proper accounting and making adjustments as necessary;
? RMA procedures, including reverse logistics and vendor warranty returns process;
? Microsoft Office experience, particularly Word and Excel. Must have strong knowledge of Excel including creation and use of pivot tables and basic formulas;
? Cross functional experience in a collaborative setting working with operations, finance, sales and service;
? Strong analytical and organizational skills with an emphasis on attention to detail;
? Demonstrated problem solving skills and ability to analyze data using tools like MS Excel;
? Strong oral and written communications skills;
? Self-starter requiring minimal training and oversight who exhibits initiative and solid decision-making skills and is not afraid to ask for help when needed;
? Familiarity with using a pallet jack, pallet banding equipment, and a loading dock platform;
? Ability to lift/move hardware appliances may be necessary of up to 150 pounds (with assistance);
? Individuals with customer-facing and CRM systems experience are preferred.
