Position Summary
Supporting one or more C-Level, EMT Member, SVP,EVP and/or Division Vice President of the Company, this position is responsible for performing highly diversified administrative and secretarial duties in support of various department functions. The duties and responsibilities of this position require a comprehensive knowledge of department and Company policies and procedures. The responsibilities also require the use of judgment, discretion, confidentiality, initiative, organization skills and the use of care and accuracy. Advanced communication skills are necessary to conduct business in the most effective manner such as phone mail, e-mail, and fax. Must have ability to work with limited supervision and prioritize work to meet customer needs, requiring a high level of organization.
Key Duties / Responsibilities
Provides administrative and secretarial support:
-Coordinates schedules making appointments and establishing agendas
-Arranges and coordinates all business travel
-Handles all confidential material relevant to Company operations
-Screens phone calls and incoming mail and performs word processing duties
-Conducts various analytical special projects, especially involving budgets and preparations for senior management meetings
-Coordinates department meetings, arranges use of conference rooms.
-Serves as a contact to people inside and outside the Company.
-Collaborates with various staff and departments in preparing special projects.
Education & Knowledge Required
HS diploma or equivalent required; bachelor degree or vocational certification in administrative skills preferred.
Experience / Skills / Abilities Required
Minimum 5 - 10 years secretarial experience, with exceptional clerical/secretarial and organizational skills, strong vocabulary, spelling and grammar skills. High degree of initiative, discretion, integrity, tact, and confidentiality. Must be able to prioritize and possess a sense of urgency. Ability to handle multiple tasks. Proficient MS office with spreadsheets and presentation software. Requires ability to resolve more complex inquiries on their own and apply moderately high levels of independent thinking to resolve issues.
Supervisory Responsibility
May be lead of receptionist or other administrative personnel in the department, location or division.
Communication & Contacts Required
Must be able to communicate effectively and professionally with all levels of management, employees, external contacts and clients.
Decision Making
Requires a high degree of independent judgment. Works under general instruction and limited direction on a large variety of projects.
Other
Requires ability to resolve complex inquiries on their own and apply moderately high levels of independent thinking to resolve issues
