The Facilities Coordinator will be expected to proactively and independently coordinate, supervise and manage daily facilities operations. This coordination will extend to the monitoring of worldwide leasing activities. He/she will be the primary contact for all office services and will gather and disseminate information on related projects or service requests and will work directly with vendors, administrative support, employees and property management. This role is responsible for the monitoring of their vendor budget information and for ensuring compliance and creating reports as assigned and maintaining related documents. The Facilities Coordinator will be charged with ensuring that the facility meets/exceeds high company standards for organization, cleanliness and aesthetics and will perform all related duties towards this goal and as assigned.
An important focus of this position will be to solicit, track and create the company's global real estate information. This position is the primary owner of the company real estate matrix to track office lease terminations and renewal dates, and make recommendations regarding how to keep pace with PANW's worldwide physical growth.
This role will require creative problem solving and sound judgment in developing methods and processes to obtain necessary solutions to varied issues/projects. This role will interact and work with others in team-driven and task-oriented projects so the ability to work well on a team is a necessity. The Facilities Coordinator will be expected to work with little instruction on the daily management of the facility and will be tasked with project work and assignments. All work will be evaluated to ensure company standards and objectives are met.
Principal Duties and Responsibilities:
Complete both administrative and project duties as outlined.
Update and maintain facilities databases to include the AMS and Harbor Flex databases. Compile headcount numbers by region and by office and recommend project priority.
Create the appropriate facilities analytics as directed.
Manage the serviced office accounts (Regus and Servcorp) and process paperwork to handle all changes to service office space.
With management direction, create requested corporate communications for facilities.
Supervise the Corporate Receptionist and Logistics Coordinator.
Manage facility contracts and RFPs.
Maintains vendor agreements, policies and procedures manuals and files.
Insures Service Requests are completed in a timely manner, either completing the request or recommending appropriate solutions to customers.
Independently lead small projects and team with Facility Manager in a support role for larger projects.
Cross-train in the reception and shipping and receiving positions to provide backup coverage for other team members as required.
Partners with event coordinators planning event projects.
Interact diplomatically and professionally with employees at all levels in the company.
B.S. Degree or equivalent facilities experience
5+ years' experience managing multi-site facilities
Strong administrative skills in key Microsoft Office Applications (i.e. Excel, Word, Project, Outlook etc.)
Working knowledge working of electrical and mechanical systems
Excellent trouble shooting and diagnostic skills
Strong written and verbal communication skills.
Ability to define problems and resolve them quickly
Familiar with local building codes, ADA and OSHA regulations
Ability to work well with changing priorities and/or situations
Self-starter who can work well with team members at all levels
Other duties as assigned.
