Purpose and Scope
The Customer Service Specialist fulfills the role of ongoing interaction with customers and potential customers regarding processing and fulfillment of purchase orders. The Customer Service Specialist communicates with interdepartmentally to ensure appropriate processing of customer purchase orders, requests, and concerns.
Manages customer accounts for single and recurring orders.
Interacts with customers regarding order placement and fulfillment ? verifies customer information, confirms product availability and shipping schedule, verifies correct pricing against valid sales quote, generates sales order, and follows up on product shipment as necessary and appropriate.
Determines validity of sales quotes by referring to ?quote valid? dates.
Interacts with Sales Representatives to obtain new sales quotes.
Generates preliminary quotes and follows up with Sales representative to affirm or supersede quote as appropriate.
Obtains appropriate documentation for new customers including bill to/ship to addresses, phone/fax/e-mail contacts, purchase order number and valid dates, and credit application if appropriate.
Monitors customer accounts for expiring purchase orders and interacts with customers as appropriate to ensure continued business.
Promotes Diagnostic Hybrids? products through positive interactions and proactive product offers.
Interacts with other departments as necessary and appropriate to ensure timely order production, processing, and shipping.
Education and Training
Demonstrated business communication skills acquired in a business/communications curriculum or by experience in a customer service setting.
Experience and Skills
Computer skills including working knowledge of e-mail, word processing, spreadsheet, database and presentation software required
Previous customer service experience highly desirable
Demonstrated organizational and problem solving skills preferred
Positive can-do attitude
Work environment characteristics are representative of an office environment.
Standing, sitting, walking, and use of hands and fingers.
