This position is responsible for handling a wide range of high-level executive support, while working independently with no supervision. General duties include performing administrative functions such as business and personal schedule coordination, screening calls, preparing correspondence and other documents using the Microsoft Office suite of products, receiving visitors, arranging conference calls and scheduling meetings. This position is dedicated to meeting the expectations and requirements of the executive, to include some personal assistance support.
Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, customers, political figures, investors, etc. to coordinate a variety of complex executive meetings and activities.
Function as a project manager for the executive. Use project mgmt. tools to build gantt chats, work flow, timelines and check lists. Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner. Work closely with the executive?s direct reports and direct/manager some or all aspects of projects depending on complexity and scope.
Create PPT presentations and excel workbooks for customer proposals, Board meetings and associate presentations.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Greet visitors and determine whether visitors should be given access to specific individuals. Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
Communicate and handle discrete/confidential incoming and outgoing communications on behalf of the executive. Draft communications for the executive in a proactive manner.
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and PPT presentation software. Ensure product is error-free and professional.
Assure effective executive time management; by arrange business/personal travel schedule and reservations for executive and other designated parties.
Retrieve, file and maintain corporate documents, records, and reports. Ensure all information is handled with discretion and kept confidential.
Prepare responses to correspondence containing routine inquiries in a timely, professional manner.
Manage the board meeting process to include site logistics, scheduling, travel and board packets. Administer documentation to include creation, maintenance and distribution of all board material (electronic and hard copy).
Participates in special projects to identify and implement operational improvements.
Work with others in a positive productive manner, anticipating and responding to their needs while balancing existing duties and responsibilities.
Support executive?s needs relative to non-business administrative activities, which may include work activities on evenings and weekends.
Other duties as assigned or directed.
Strong knowledge of administrative and clerical procedures and systems (MS Office Suite), file and records management experience, and transcription/other office equipment skills.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Knowledge of principles and processes for providing superior customer and personal service. This includes understanding the needs of the individuals that interface with the executive, their idiosyncrasies, position of authority and expectations in order to exceed their expectation.
AA degree required. BS or BA degree desirable. Must have strong computer knowledge and exceptional skills in Microsoft Word, Excel, Outlook, and Power Point. Experience operating transcription equipment is also a requirement.
Minimum of seven (7) years working as an administrative assistant in a professional work environment.
Must present a professional image and brings a level of sophistication consistent with expectations of the executive office. Verbal and written communication must be articulate and accurate.
Ability to be flexible, function independently and works under pressure with multiple tasks and deadlines. Must be exceedingly well organized, have strong time management skills, ability to problem solve and have a strong customer service orientation. Must enjoy the administrative challenges of the role to include the fast paced environment, the need for resourcefulness and efficiency.
High frequency phone interaction with senior management, clients, vendors, and other non-Remedi contacts. Requires effective interpersonal skills, exhibiting a pleasant out-going and caring attitude. Must interact positively with a professional attitude and kind demeanor.
