Caring.com is the leading website helping family members caring for elderly loved ones. We are located in San Mateo, CA. Caring.com is looking for an Office Manager who will have responsibility to ensure the smooth running of our office by making sure it is a safe, tidy, properly supplied, well-organized and productive environment, while keeping it a fun place to work. In addition, this position will have benefits administration responsibilities.
Must Have Skills:
Two years of Office Management or Administrative Assistant experience. Benefits administration experience would be a big plus.
College degree preferred
High level skills with Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Apps, and Internet savvy
Exceptional organizational skills with ability to multi-task
Demonstrated reliability and consistency in work performance
Experienced and comfortable handling HR administration and sensitive information with discretion
Comfortable in a start-up environment, where flexibility and a team player mentality are crucial
Fluent in English with very good interpersonal and communication (written and verbal) skills
A proactive approach to problem-solving using a professional demeanor and maintaining a positive, upbeat attitude
Able to work standard business hours, with some overtime necessary at peak periods and to meet crucial deadlines
A people person, with extreme passion for our company's social mission (elder care)
Greet and assist visitors
Maintain the appearance and functionality of the office. Liaison with building management, janitors, vendors, caterers, etc. Assure conference rooms and all public spaces are presentable and ready for use at all times
Oversee maintenance of office and kitchen equipment
Order office supplies, kitchen supplies and snacks as needed
Manage telecom. Liaison with phone company, order phone lines, review monthly billing, etc.
Forward voicemail messages from general delivery
Distribute incoming mail; handle postage for outgoing business mail
Set up computers for new employees following instructions/training provided by IT
Human resources and benefits administration
Handle new hire onboarding and orientation.
Take care of benefits administration. Liaison with insurance agency
Coordinate annual performance review and MBO goal-setting process
Assist with recruiting (post job descriptions, schedule interviews, arrange candidate travel)
Support for CEO and executive management team
Provide administrative support for a largely self-sufficient CEO and eteam if/as needed
Schedule meetings and arrange for conference rooms, equipment and meals
Assist with preparations for Board meetings, conferences, trade shows and special events such as company meetings, team lunches, celebrations, offsites and holiday parties
Maintain files (including paid accounts payable invoices and employee expense reports)
Assist with requests from auditors and tax preparers
Work on special projects as assigned
