Executive Assistant/Personal Assistant to the CEO / COO
We are looking for a sharp, dedicated, and energetic Personal / Executive Assistant. This position is one that requires extreme attention to detail, accountability, and professionalism. Only apply if you are self-motivated, full of energy, and have a positive, outgoing personality. You must enjoy working in a fast paced environment with an ability to manage multiple tasks at a time. A typical workweek is Monday ? Friday (9am ? 6pm) but you must be available to respond to requests via phone or email during off business hours. For the right candidate, this will be a very rewarding position with a compensation package in line with the job?s expectations.
The duties of this position are extremely diverse and challenging and include the following:
?Provide all administrative and personal support to the CEO and COO
?Maintain confidentiality of all business and personal matters ?
?Prepare outgoing correspondence including dictation for
letters, emails, etc., as requested
?Manage all incoming calls to the executive office
?Maintain and organize daily schedule and consistently remind
about appointments/sales related activities that need to be
?Relay information in the most concise, efficient way possible
at all times
?A commitment to organizing and tracking a variety of tasks on
a constant and continual basis, communicating each task?s
status, and following through until tasks are complete
against a tight timeline
?Serve as a liaison to clients and colleagues and handle all
?Run errands and various other personal assistant duties?
?Handle all issues: for their home --
?Manage household maintenance/direct contact with vendors,
?Track personal and business expenses/maintain spreadsheets
?Handle special requests and related duties as assigned?
?Arrange detailed travel arrangements, accommodations, and
itineraries - both international and domestic: book all
flights, hotels and local transportation; arrange full
appointment schedule; create detailed itineraries including
list of all activities, pick up points, travel information,
etc.; make necessary arrangements for dinners/lunches,
events, conferences, etc.
?Manage work and personal calendars, schedule appointments,
and give consistent updates/reminders about upcoming
?Organize events, meetings and conferences?
?Manage a variety of special business and personal projects
?Administrative duties including filing, copying, expense
reports, and general office responsibilities.
?Occasional coverage of the main office phone line during
Office Administrator?s lunch
?You must be prepared to roll up your sleeves and keep this
CEO going, so he can do what he does
?Minimum of 3-5 years? experience in a similar role?
?Prior Personal Assistant experience a plus
?Lively, pitch in, "I'll do it" type of personality
?Quick thinking, resourceful, articulate, tactful and flexible
?Enthusiastic, personable, reliable, self-starting, energetic
?Must have ability to effectively interact with and gain the
confidence of clients and internal staff.
?Excellent organizational and project management skills with
strong attention to detail.
?Proactive approach to problem identification/resolution
?Must be able to work both independently and as part of a
larger team "hands on" as necessary
?Strong computer skills including proficiency in MS Office
Suite (Outlook, Word, Excel, PowerPoint)
?Proficient in performing internet searches and research
?Exceptional communication skills both written and verbal?
?Poised and polished with a professional mindset?
?Demonstrates strong dependability and maintains
?Ability to multi-task, work under pressure and meet required
deadlines with outstanding attitude and work ethic
