Professional Services Operations Coordinator
The Professional Services Operations Coordinator plays an important role on the Professional Services Operations team and is responsible for coordinating, managing and supporting professional services activities in various capacities.
In summary, this individual will focus in three areas:
- Basic System Administration and Support
- General operational support of a global professional services organization with focus on the Polish operations.
This position will be located in Warsaw, Poland and will require being onsite at our local Warsaw office, and will report to the EMEA Professional Service Coordinator located in our London, UK office and the PS Operations Director, located at our corporate headquarter office in California, USA.
Basic System Administration and Support
The primary responsibility for the PS Operations Coordinator will be to support our Professional Services Automation (PSA) tool, along with assist with other tools used to support the operations of the Professional Services Organization. In this capacity, the PS Operations Coordinator will:
o Assist the Professional Services Organization in using the PSA tool.
o Assist with the administration of our Learning Management System (LMS).
o Ensure all employee data is kept updated and coordinated across departments where needed.
o Set up projects in the PSA tool, ensuring key information is maintained and updated. This includes financial information, billing rules, staffing assignments, and project and contract dates.
o Coordinate with the EMEA PS Coordinator and with Finance to ensure key project data is captured correctly.
o Manage PSA reporting and alerts.
o Participate in PSA enhancement projects and testing as required.
At month end, the Professional Services Operations team is focused on ensuring a quick and smooth billing cycle. The PS Operations Coordinator will be instrumental in this process, helping with the following activities:
o Tracking and ensuring that all employees have entered Time and Expenses into the PSA tool on schedule. This will involve assisting field staff with time and expense entry.
o Running validation reports for manager review and approval.
o Creating draft invoices and working through issues to resolve any invoice discrepancies.
General Field Support
In addition, the PS Operations Coordinator will participate in a wide variety of organizational and administrative activities to support an efficient and growing professional services organization. These will include but are not limited to:
o Troubleshoot or redirect general employee questions regarding a wide variety of subjects such as assignments and travel, tax and visa issues, HR questions, and company policies.
o Work on ad hoc projects to help analyze and optimize the operations of the professional services organization.
o Develop and implement new processes for the professional services organization.
o Participate in operational system upgrades and implementations.
o 1-3 years' combined experience in technical services operations or professional services.
o Previous experience and understanding of a Professional Services Automation (PSA) tool. (Empire Time a plus).
o Experience with basic system administration tasks.
o Excellent interpersonal, telephone and electronic communications skills required.
o Strong organizational skills a must.
o Experience working with Sales, Consulting, Project Management, and Client Support preferred.
o The ideal candidate would be enthusiastic and proactive with strong initiative and drive and willing to grow as the company expands and develops.
o Knowledge of applications including but not limited to: Microsoft Office suite. Proficiency in Excel a plus.
o Travel is less than 10%.
